Event format
An event hosted by a university. Faculty on the jury, and a timeline built around the academic calendar.
A student event is limited by the timetable, not by the budget. The date decides most of it: during exams nobody comes, however large the prize.
Keep the date away from exam periods. Late December, January and May are effectively unavailable.
The venue is usually the university itself, but access lists and security still have to be agreed in advance.
Certificates matter more than prizes. For a first-year student this is the first line of a CV.
Faculty on the jury bring their own marking habits. Walk the scale through with them before the defence starts.
